Planning Your Event To Make It The Very Best It Can Be

For Weddings & Special Occasions

  • If you're planning a celebration event, make sure that, before you go ahead and book your musical entertainments, you contact the venue to discuss the rules, regulations, restrictions and licensing issues. Some churches or historical buildings may have objections or impose restrictions on certain activities or music pieces performed on their site.
  • This is a good time also to start building and creating your "Running Order" for your event.  Even if it is rough then it's a good start as it gives the "backbone" and foundation for your event so that you will have something tangible to work with when having consulting in your coordinator, if you have one, or family and friends who are lending support.  It's always good to be working on the "same page".
  • Always ensure that, when selecting your musicians or musical entertainment, that you are in contact with one single person from the organization as oppose to a myriad of people answering the phone.  This will ensure that the point of contact is always static and that they will be fully aware of all your requirements, amendments and changes.
  • Also, you will need to select a trusted member of your family, friend or someone you wish to have the autonomy to act in your behalf to facilitate any event coordinating that need to be done with regards venue, catering, cars, decor, flowers, etc.  By having this one solo person, it will enable you to keep a stringent eye on your event's progress and alleviate the potential for confusion or misunderstandings.
  • It is also a good idea that you allocate one person to be fully versed and familiar with the song list, arrival and set-up procedures, program, timing, music cues, seating arrangements and all the relevant schedules for your special event too who will liaise directly with the company providing the entertainment for the event.  Even if you have Coordinator assisting you with your events, it is always a good idea to have a back-up so as to ensure that this side of the arrangements are fully understood.
  • Catering for your event is essentially one of the most important factors of ensuring a successful event.  So, make sure that you have ample opportunity to scrutinize menus, confirm prices, make an appointment to sample the dishes being served, get references and testimonials from previous clients and know how many members of staff will be on-hand for your event.  
  • Floral arrangements, decor, staging, location of entertainment, etc., will need to be pre-assigned before the day of your event. Make sure that you DO NOT LEAVE THIS to the last minute as this could definitely throw out the perfection that you are aiming to achieve with the ambience and environmental surrounding.

For Corporate Events&Functions

  • For Corporate workshops and seminars, have a precise purpose of the reason why you are creating your product and the goal you want to achieve.
  • Ensure that you have taken all the "fine budgetary details" into considering including staging costs, venue rental, flyer and promotional material design and printing, lighting, audio/visual, refreshments and hospitality... the list goes on!  But you have to make sure that all the relevant points are factored into your schedule so as to give you a clear and concise look at your overheads.
  • Make sure that you have pinpointed your target audience and that you have clearly define the audience that you want to attract.
  • Confirm your speakers and precise the subject matters that they will be speaking/lecturing on.  
  • Start looking at sponsors for your event to help with the financial overheads.
  • Strategize and make sure that you are holding an event that will cater for the clients/customers you are wishing to attract.
  • Ensure that the date you are planning to have your event does not coincide with a similar event being staged by a competitor.
  • Think about the size of event, number of expected delegates, type of event, reason for the event you want to stage and the promotional and marketing time limit you want to impose.
  • Look at how tight your brand is.  Does it need "tweaking" here and there to make it more attractive? Do you need to include or take away other facets to make it more appealing? 
  • Create a buzz around your event with press releases, etc.
  • How are you going to advertise your event to reach and achieve your target audience? 
  • Make sure you have great hospitality and refreshments provided for your delegates.  One of the best ways to leave a "great taste" in your participant's mouth is by supplying a good quality "tit bits".  EVERYONE loves to eat!
  • Are you going to give "Early Bird"incentives to encourage participants or delegates?
  • This is also the time to create the team yo wish to work with you on your specific project.  Make sure that they are fully experienced, responsible and willing to offer expert assistance and valid ideas and suggestions that will enhance your product.
  • Evaluate your product and set achievable expectations as to how you want your event to be seen and the ultimate goal you want to achieve?  Do you want to earn lots of money from it or do you wish to build a following?
